Fair Participation Preparation: Step-by-Step Timeline

Time Task Description
6 Months Before Hotel and tour reservation During fair periods, quality hotels fill up 6 months in advance. A hotel near the fair grounds reduces transfer costs and saves time.
4-5 Months Before Flight ticket Early reservation provides 30-50 percent savings on flight tickets. Act early, as other tour participants are heading for the same flights.
6-8 Weeks Before Schengen visa application You must allow sufficient time for collecting documents and the embassy appointment. During busy periods, the appointment may slip 3-4 weeks ahead.
2-4 Weeks Before Fair accreditation Obtain your accreditation card in advance by registering online on the organizer's website. At some fairs, the free online registration period ends.
1 Week Before Meeting planning Make appointments in advance with the companies you want to meet at the fair. Create a time plan for stand visits at large fairs.
After the Fair Follow-up and reporting Business cards and notes obtained at meetings should be entered into the system immediately, and follow-up of potential suppliers and customers should begin within 48 hours.

Schengen Visa: Required Documents

A Schengen visa is mandatory for entry to all Schengen countries, including Germany, Italy, France and the Netherlands. The following documents are requested as standard in the embassy application:

  • Passport: A passport valid for at least 6 months from the travel date, issued within the last 10 years
  • Biometric Photo: 2 biometric photos with a white background, taken within the last 6 months
  • Travel Insurance: An insurance policy valid for the entire Schengen area, with min. 30,000 Euro medical coverage
  • Accommodation Document: Hotel reservation confirmation document or invitation letter
  • Flight Ticket Reservation: Issued ticket or reservation document (round-trip)
  • Fair Document: Accreditation card, invitation letter or fair registration confirmation
  • Financial Capability: Bank account statement or deposit document for the last 3 months
  • Application Form: Visa application form filled out online and signed

Important Note: The visa application must be made at the latest 8 weeks before the fair date. Make sure your travel insurance covers the embassy country where you apply and all Schengen area countries. As Delta Expo, we provide guidance in the preparation of your documents.

When should you apply to attend an international fair abroad?
We recommend making your tour and accommodation reservation at least 3-6 months before the fair date. For the Schengen visa, the embassy application should be made 6-8 weeks before the fair date. At high-participation fairs such as Hannover Messe, Automechanika and bauma, these periods can sometimes extend to 8-10 weeks. Fair accreditation is generally obtained online from the organizer's site 2-4 weeks in advance.
What documents are required for a Schengen visa?
Valid passport, biometric photo, travel insurance with min. 30,000 Euro coverage, hotel reservation, round-trip flight ticket, fair accreditation document or invitation letter, and bank statement for the last 3 months. Yes, our standard fair tour packages include a round-trip economy class flight ticket from Istanbul to the relevant fair city. Business class upgrades, departures from other cities and multi-stop routes are priced separately on request.

The cost of a fair tour varies according to the city distance, fair duration, hotel category and seasonal flight prices. On average, 3-5 day Germany fair packages range from 800-2,500 Euro per person. This range is similar for Italy and France. For an exact offer, contact us specifying your fair and dates.
Do you organize group and corporate fair tours?
Yes, in addition to individual participants, we organize special group fair tours for chambers of commerce, exporters' associations and corporate companies. For groups of 10 people and above, we provide a special transfer vehicle, group check-in priority and corporate price discounts.
